Public Folders - Permissions

Could you tell me about controlling permissions to Public Folders?

Distribution lists (DL) will be used to control permissions to Public Folders. The following naming standards will be used for Distribution Lists:

“Public Folder Name” Members - User group (Read only) or (Read,Write)

“Public Folder Name” Owners - Pseudo Owner group (Read, Write)

    Distribution List (DL) examples:
  • ITaP Vacation Calendar Members
  • ITaP Vacation Calendar Owners

What else should I know about permissions to Public Folders?

The Exchange Administration group will be the true owner of every Public Folder.

Members of the “Owners” Distribution List are to be identified when the Public Folder is first requested. A member of the "Owners" Distribution List will be responsible for adding and removing users from the “Members” Distribution List. Therefore, these “Owners” are responsible for granting and deleting access to the Public Folder.

Individual users will not be able to add or remove owners from the “Owners” Distribution List.

To remove an individual from an "owners" distribution list, please send the request to exchange-admin@purdue.edu. (Please be sure to include the name of the public folder and the complete name of the individual who is to be removed.)

"Owners" can maintain the Distribution Lists by going to the permissions tab of the Public Folder, selecting the proper group, and clicking on the Properties button.

Please note: Users will only see those Public Folders for which they are a member - either of the Owners or Members Distribution Lists. Fifteen minutes must pass before changes made to a Distribution List take effect.
