University policies regarding access to student data


These policies are effective immediately and must be followed prior to requesting any TLT service that uses student data.


To view all university policies concerning student data, go to the University Policies web site. Please note that Teaching and Learning Technologies can not make exceptions to these policies. Please review before requesting services.
  1. FERPA Certification is required (with annual recertification)

  2. All Purdue University employees who work with student records have individual responsibility to know FERPA guidelines and maintain the confidentiality of student records. By law, these records must be protected and used only by school officials when there is a legitimate educational interest. The Office of the Registrar is now requiring FERPA certification of Purdue University employees upon access to student records.

    Key reasons for FERPA certification
    The Family Educational Rights and Privacy Act (FERPA) (20 U.S.C. § 1232g; 34 CFR Part 99) is a Federal law that protects the privacy of student education records. Any educational institution that receives funds under any program administered by the U.S. Secretary of Education must comply with FERPA. Failure to comply with FERPA may result in loss federal funds (financial aid, educational grants, etc)

    What does this mean?
    You must be FERPA certified before you request access to student data. Certification is available on-line at the Registrar’s web site at: https://www2.itap.purdue.edu/registrar/training/ferpa/content.cfm and must be completed annually.

  3. Access to Student Data

  4. In order to access student roster data, you must have one of the following Banner roles assigned to you by your departmental schedule deputy.
    • Instructor
    • Course Roster Viewer
    Your departmental schedule deputy makes all assignments for all academic courses, and these are pushed directly from Banner to the West Lafayette Academic Campus of Blackboard and other course-related TLT services, such as the Course Email Tool. Please check with your departmental schedule deputy to be sure you have the required role before requesting access to any TLT service that requires student roster data.

    Please be aware that TLT receives all data from the Banner system and cannot make instructor or student roster adjustments in Blackboard Vista or the Course Email Tool.
