These amounts have been calculated using the costs for paper, toner, ink, printers and maintenance specific to each type of printer. These costs are subject to change.

Will my unused quota from the summer semester roll over into the fall semester?
No. Student print quotas can be rolled over from fall to spring and from spring to summer, but print quotas will be reset at the end of the summer session, the day after grades are due to the Registrar.

How can our department supplement a user's quota?
The quota supplement tool can be found at the following link: https://www.itap.purdue.edu/tlt/printing/uniprint.cfm. You will need a valid fund number for this quota supplement to be charged against. The tool is for supplementing individuals, not for supplementing groups or classes.

Why isn't it cheaper to print duplex?
The cost of the paper is very small relative to the cost of a print job. Much of the cost is tied up in the cost of the printing hardware purchase and support and the toner used for printing. Very little of the cost of a print job relates to the paper. In the past, duplex used to be the default in the labs and it actually created more waste.

What happens when I exceed my allotted quota?
When quotas are exceeded, you will be charged (see: Quotas and Page Costs) and billed. billed. Invoices will be distributed 3 times a year, at the end of each semester.

What happens when there is a printer jam or error, or my document doesn't print at all? Can I get those prints credited back to my account?
Printing errors and jams do occur and any loss of print pages associated with such a problem will be credited back to your account. However, you must retain the bad document as proof of the error, and report problems to a lab assistant on duty. Open labs (STEW 102, Beering, CIVL 3144, HICKS B853, Matthews 116, SCG073) are all staffed during normal business hours.

You will be asked to show your "bad print", which should include your printed output and the ivory cover sheet. If your document did not print, you will be asked to supply the date, time, and printer location where you tried to submit your document for printing. Your credit request must be submitted within 7 days of the initial printing of your document to be eligible for a credit to your account. If it is the fault of the printer or the printing system, they will arrange for a credit. We will be lenient with such occurrences unless the system is abused. Printing refund requests can be made up until the last day of the current semester.

Printing errors attributed to the user will not be credited. Examples of such errors include, but are not limited to:

  • Printing to the wrong printer.
  • Printing on the wrong paper size.
  • Not picking up job from printer.
  • Printing wrong document.
  • Printing with the wrong orientation selected (landscape vs. portrait).
  • Multiple copies of the same document (when only one is desired).
  • Failure to logoff (and another student uses your account).
  • Print jobs delayed several minutes due to heavy user load.

What happens to my unused pages?
At the end of the fall and spring semesters, any remaining print quota can be carried forward into the following semester (for students only). However, all quotas are reset at the beginning of the fall semester. No remaining quotas are carried into the next academic year. Nor can you "borrow" from an upcoming semester. Currently, a balance of up to $12.00 (300 pages at $.04/page) can be carried forward. To roll over pages from the fall semester (students only), go to https://www.purdue.edu/apps/ics/a/Account.

How were print quotas determined?
Establishing a combination of a monetary quota per semester and a cost recovery system for those exceeding quotas will help control future increases, but still provide access to printing to those who need it. To determine how many free prints to establish as well as the page cost, we considered the following:

  • costs for paper, toners, inks and printer repair and replacement
  • costs per page for printing that accounts for variable size paper, single or duplex, black & white or color, transparencies, and glossies
  • current and projected costs of printing
  • what other Big Ten schools are doing
We observed during the print pilot that implementing a quota caused a 40 percent decrease in printing as users are more conservative about printing and stay within their allocation. Historical data also indicates that a relatively small number of users account for most printing.

As a benchmark, our Big Ten peers offer anywhere from zero (six institutions) to 650 (one institution) free pages per semester. The charge for a one-sided black and white page ranges from $.04 to $.10.

Can TA's who teach lab classes get a bigger print quota?
We are not planning to subsidize work that TA's are doing. These are paid positions. Our recommendation would be that a department provide a work printer for their student workers to use, or that they subsidize their quotas.

Can student workers get a bigger print quota?
If a particular department or unit would like to subsidize printing for their student workers, we have the capacity to do so.

In some cases, the business unit will have printers that are used for administrative purposes and will not be under the quota system. In this instance, student workers will not be charged when they print.

Once a job is sent to the printer, can it be cancelled or stopped from printing?
No. Once a job is selected and released for printing, it cannot be cancelled. The user must pay for the print.

Am I being charged for the banner page?
No. Banner pages are used to help identify your print job and will not be counted against your quota.

How do I cancel a large print job that was released by mistake?
See the Lab Assistant on duty. If no assistant is available, call the phone number listed on the printer.

If I have unused pages left over, can I give them to someone?
No. Print pages cannot be reassigned.

What if my print output is lost or thrown away?
It is your responsibility to pick up your output from the printer. Printing errors attributed to the user will not be credited back to your account.

Will I be warned when I'm about to run out of pages?
Quota information will be provided on the banner page, so individuals know how much a job cost and what their quota balance is currently. Your print history and remaining quota are also displayed on your Account Information web page.

How do I duplex? Am I charged for 1 or 2 pages?
When duplexing, you will be charged the same amount for each side of the paper. The majority of the costs associated with printing have nothing to do with the paper. For help in setting up duplex printing, go to: http://help.itap.purdue.edu/1728

If I'm taking more credit hours, shouldn't I have a larger quota?
Quotas are based upon the average printing needs of a typical student or faculty member. Departments may choose to pay an incremental fee to have students quotas increased based on the classes they are taking. However, ITaP cannot determine what acceptable print quotas would be based on course schedules. We are not in the position to make those judgments.

Can a student organization get a print allotment?
Student organizations are given a print quota. Student Organizations wishing to make use of the quota need to use the student organization's account credentials to print. Usually, this means logging on to an ITaP lab machine using the club's account name and password. When documents are printed from the club account, the banner will show how much printing remains for the account.

If a student organization does not know their username or password, the president or advisor may use the ITaP account tool (https://www.purdue.edu/apps/account/AccountTools) to set the password and learn the account name.

How can our student organization add more money to our print quota?
Print out the Request for Additional Print Quota and fill it out. This request must be signed by the President or Advisor of the Student Organization. Submit the signed form to the Business Office for Student Organizations in Schleman Hall, Room 213. Please allow 3 business days for this authorization to process

How did you come up with the cost per print?
The current rates will encourage responsible printing without placing an undue burden on individuals. The charge will allow only for partial cost recovery. Beyond the obvious cost of paper and toner, frequent equipment repair, maintenance and replacement is necessary.

How do I print multiple pages per sheet so that I'm charged properly?
When choosing to print from an application such as PowerPoint or Acrobat/Acrobat Reader, there is an option to print multiple pages per actual sheet of paper. This is the proper way to accomplish this. However, if you go into the printer's properties and choose this option there, you will incorrectly be charged for the full number of pages in the document (assuming one page per printed sheet).
