Faculty and staff email moving to the cloud – what you need to know

Beginning the week of March 11, ITaP in collaboration with Presidio, an IT service management company, will begin to migrate faculty and staff email accounts from a server on Purdue’s campus to Microsoft’s Exchange cloud service.

Outlook or other email applications on employees’ work computers should be unaffected. Users may need to sign in, restart Outlook, or restart their computer. Even if there are issues with their email applications, users can visit https://outlook.office365.com for full access to their Purdue email while the application issues are being resolved.

Users will notice the change on their personal mobile devices, which will no longer receive new Purdue Exchange emails after the move. Those mobile devices will have to be reset. 

By far the easiest way to set up personal mobile devices, such as smartphones and tablets, is to delete the current Exchange account on the device, create a new account, and allow the device to set up the new account. Users will need to enter username@purdue.edu and their Purdue password during the process.

The good news: the migration means everyone will receive 50 gigabytes of mailbox space, 10 times what most people have now.

Moving to the cloud also means that Purdue faculty, staff and students will all be on the same email platform (student email moved previously) with increased usability between the three groups.

The change should provide more robust email service and save the University the cost of operating and maintaining its own email hardware, while better positioning Purdue for future IT projects.

Individuals will be notified the week before their mailbox is due to migrate as well as the day of the move. It is likely that whole departments will migrate over the course of approximately one week to limit disruption.

The disruption users will experience will be for a brief one-hour period as the final data are migrated to the cloud. No emails will be lost in the migration.
